Who can deposit papers into OUR Archive?Current University of Otago staff can deposit material into OUR Archive. Postgraduate students can deposit their completed theses into OUR Archive. Information about depositing a thesis is located on the Thesis information page. How do I deposit material into OUR Archive?For a thesis go to the Thesis Deposit form For other material you will first you need to Register with OUR Archive. This is done online: Register for an account Once you are registered you can enter the details of your research and then attach the file(s). Instructions on the depositing process are also available - Depositing an item into OUR Archive (85K in PDF format) What is the best way to convert my research paper to PDF to deposit into OUR Archive?If you are using software such as Adobe Acrobat to convert your research to PDF do not apply security features, such as 'printing protection' and 'assembly protection'. These extra security layers prevent OUR Archive from indexing your research and make it harder to preserve your file(s). If you wish to let others know what they can and cannot do with your research, please contact OUR Archive administrators about Creative Commons licensing. What types of material can be deposited into OUR Archive?In accordance with the University of Otago IRR Policy (2008) digital versions eligible for deposit are based on the 'Research Types' as recognised by Tertiary Education Commission (TEC) as listed on page 43 of the Performance-Based Research Fund Guidelines 2006. Which version of my research output(s) do you need for the OUR Archive?We require a version which is copyright cleared for inclusion in OUR Archive. This will depend on the type of agreement you have with the publisher. Most major academic publishers permit authors to deposit some form of their publications in institutional repositories. However, in the main, the version permitted is not the final published version but is usually the author's accepted version, often known as the post-print. Before making your publications live OUR Archive administrators will check the publisher's policies in OAK List of Publisher Policies and SHERPA RoMEO and may contact publishers directly to request permission if a policy is unavailable or unclear. Please let the administrators know if you negotiated changes to the standard contract with your publisher. What are post-prints and pre-prints?These terms are frequently used in publishers' archiving policies and in copyright transfer agreements. A post-print may also be known as the accepted version or accepted author's manuscript. It is the version after peer review or refereeing with revisions having been made, but before copy editing by the publisher. In terms of content, a post-print will be the same as the published article but the formatting, type-setting and layout are usually different. A pre-print may also be known as the final author's version or the submitted version. It is the version before peer review or refereeing. In accordance with the University of Otago Institutional Research Repository Policy (2008), the pre-prints of works will generally not be included in OUR Archive. The post-print is the preferred version for OUR Archive (with publisher permission). For advice on managing the various versions of your research publications, consult the Versions Toolkit. What about the School of Business or Te Tumu ePrint repositories?OUR Archive has not replaced either the School of Business or Te Tumu repositories. What is KRIS?KRIS stands for Kiwi Research Information Service and is also known as nzresearch.org.nz. The goal of KRIS is to connect research users from around the world to research documents produced in New Zealand institutions. Can I link to my material in OUR Archive from my own web site?Yes, as the creator of the material that you have deposited into OUR Archive you have the right to link to each item. One of the main benefits of being able to link to your material in OUR Archive is that you do not have to maintain the records you are linking to, as this has become the responsibility of OUR Archive administrators.
